How to Create an Account

Step 1: Log in to your DistrictZero account to arrive at the homepage. Once there, hover over the profile image on the side navigation bar to reveal the settings option. Click on the settings button.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ac3e-b92e-754b-847f-dce3b63f425f.png" data-width="100%" data-align="left">Step 2: Once you have arrived at the settings page, look for the ‘Password’ section. To change your password, enter your old one (the one you just logged in with) in the text field on top and your new one (the one you would like to sign in with) in the text field below.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ac42-c09e-7f95-bc78-d301bdfa82af.png" data-width="100%" data-align="left">Once you have verified your choices using the visibility ‘eye’ buttons on the right side of each text field, click ‘Change password’ to save your changes.

How to Change Your Password

Step 1: Log in to your DistrictZero account to arrive at the homepage. Once there, hover over the profile image on the side navigation bar to reveal the settings option. How to Adjust Notification Preferences

Step 1: Log in to your DistrictZero account to arrive at the homepage. The navigation bar on the left of your screen allows you to navigate to different app sections. At the very bottom is the ‘App Feedback’ option. Start by clicking there.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ac5c-1b26-755d-b9fe-f0f11690c70c.png" data-width="100%" data-align="left">Step 2: A popup window will appear in the center of your screen, prompting you to leave feedback. Type your feedback in the text field and click ‘Submit Feedback’ when ready.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ac5d-c565-7554-8980-0addba9bf049.png" data-width="100%" data-align="left">

How to Submit App Feedback

<h3 id="w316zfb8k43" data-toc-id="w316zfb8k43">For All Users:</h3>Once signed in with your DistrictZero account, you will be automatically navigated to the core dashboard. If you are unsure if you are on the proper dashboard, check the navigation bar on the left to ensure that ‘Dashboard’ is highlighted in blue. If not, click on it.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ac61-6ac9-7ad0-bcb2-71545e783460.png" data-width="100%" data-align="left"><h3 id="kd786seff5k" data-toc-id="kd786seff5k">For Owners &amp; Mentors:</h3><img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ad24-ecb0-743c-92a3-5db0502333c2.png" data-width="100%" data-align="left">Your available check-ins to complete will appear at the top (if there are any). Click ‘Start,’ highlighted in orange, to start a check-in.Next, ‘Priority Check-ins’ highlights check-ins with urgent feedback necessary because of dangerous responses. Choose to remove the alert if needed or manage the alert to view more details by clicking the orange button.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ad29-8d46-79ff-a61a-e5c388e7a903.png" data-width="75%" data-align="left">When managing an alert, details about the check-in and what alarmed the system to prioritize it will appear. You can either click ‘No action needed’ if you deem there isn’t any necessary action for this check-in. Consider also clicking the ‘Flagged incorrectly - notify DistrictZero’ button to improve our AI moderation. If the situation needs to be resolved, click the ‘Will pursue further’ button to leave the alert on your dashboard until the issue has been resolved. Finally, owners and mentors can access the Summary Generator feature and its powerful outputs. How to Access the Core Dashboard

Owners and mentors can access the Summary Generator feature and its powerful outputs. Scroll to the Dashboard's Summary Generator section and click ‘Choose Report’ to get started.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ad2d-c3b3-7727-a02c-49a7ef1cdd7b.png" data-width="100%" data-align="left">Once the report generator screen has been accessed, you can scroll down to view your saved agendas and impact reports if you have any. Navigate to either one by clicking either ‘Saved Agendas’ or ‘Impact Reports’ within the ‘Saved Reports’ section and scroll through all your saved agendas.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ad30-8ca5-78d8-aee7-261889350c95.png" data-width="100%" data-align="left">You can hover over the five dots next to an agenda to view the saved agenda or delete it from memory.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ad31-3e8d-79af-a002-d8acaf81dcc6.png" data-width="100%" data-align="left">Next, at the top of the screen, is the option to create a new report. To do this, you must select individual mentees or groups you would like to include in the report. Select from preset date ranges using the ‘Select date range’ button on the right side, or make a custom date range by clicking on ‘Select range’ on the left. The report will only consider check-ins between and including these dates.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ad34-a91a-75fe-a2e9-a56e18e59345.png" data-width="100%" data-align="left">Finally, after selecting your date range and clicking next, you must create a ‘Meeting Agenda Discussion’ or a ‘Narrative Impact Report.’ Their use cases are highlighted in the bullet points below each title. You can click the checkbox that says ‘De-identify report names’ to see the report without specific mentor names. Once ready, select ‘Generate Agenda’ or ‘Generate Report’ to see DZ-AI come to life!<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193b279-87af-701e-b2c1-e9eb3d74e265.png" data-width="100%" data-align="left">Once you generate an agenda, you will be taken to a popup where text will start to stream out with your report. You can choose to stop generating or retry generating during generation.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193db6c-4ded-7054-a7e8-6acf10484f81.png" data-width="100%" data-align="left"><img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193db6c-67b7-784a-a545-b750c7a0fbc6.png" data-width="100%" data-align="left">Once done, make sure to leave feedback at the bottom using the text box or thumbs-up/down icons. First, head over to the ‘Program Groups’ section of the navigation bar on the left side of the screen.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ad58-ef6a-725d-90ae-65657f24271c.png" data-width="100%" data-align="left">Once there, you will notice all of your groups of mentees within your organization should appear here.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ad5c-2ec9-745b-b1db-fb724cda2f34.png" data-width="100%" data-align="left">To adjust Check-in schedules within that group, select a group by clicking on the arrow near the right side of that group’s section. This will show more details about the group.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ad5d-5d2a-79af-8198-95503be25e4a.png" data-width="100%" data-align="left">You can click on a specific existing Check-in name to adjust its details. Or you can also click ‘Add Check-in’ near the bottom left of the section to start a new one.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193ad5d-e010-7ff6-ab79-fff957940e8d.png" data-width="100%" data-align="left">Here, you can change the type of check-in, which days the check-in appears, how often it repeats, what time it is available, the time-zone it is available in, and if it is mandatory or not. Once you have finalized all the details, click ‘Save check-in’ or ‘Create check-in’. Remember, you can always go back and edit check-ins.

If not, that’s okay! That means your mentees have completed any check-ins, or you will not need to expand your filters.Notice that near the top of the screen, there are two different options to filter data, as shown in the data insights view.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193b289-f7d0-7603-bc2b-0887e4bcd41e.png" data-width="100%" data-align="left">On the left side, start by clicking the dropdown that says ‘Please select group or member,’ then select the mentee (s) attending your intervention meeting.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193b28a-fd49-725e-859c-57547a00ea84.png" data-width="100%" data-align="left">Next, pick the range of dates you would like to use check-in data from using the selector on the top right side of the screen. Focusing on the insights at the center of the screen, you will see two core graphs: Communication and Mood. These graphs are unique because they generate scores based on the volume of communication (in characters) or sentiment expressed and organize them by check-in date to show a mural of progress and engagement.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193b290-0b8e-7468-90e1-3f3626690f8a.png" data-width="100%" data-align="left">Want to learn more about a specific data point? The best thing to do is to head to the source to know why a mentee may have chosen a lack of communication or had a negative sentiment in a check-in. Try clicking on a specific data point on either of these graphs to learn more.When you click on any data point, a popup screen shows check-in responses for that date. If more than one check-in was responded to that day, each check-in will be organized into a dropdown. Try clicking on a dropdown to learn more about that check-in.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193b293-6663-773e-a6f2-e91e25c9943d.png" data-width="100%" data-align="left">If there was only one check-in for that date, or you clicked on the dropdown, you will now see specific responses for the check-in within this view, so you can pinpoint what was going on on this day.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193b295-0997-7f15-be34-b5bcecdb4584.png" data-width="100%" data-align="left">Remember to double-check AI-generated reports with raw check-in details to confirm or better understand where the mentee is.

Tips and best practices to get the most out of one-on-one intervention meetings with your mentees.

How to Prepare for an Intervention Discussion

<h2 id="1okrorqzcyd" data-toc-id="1okrorqzcyd">To Match with Mentees:</h2>As a mentor, first, navigate to the ‘Mentor Match’ section of the navigation bar on the left.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193aeb7-5561-7a2f-b9cc-3663b0fcd501.png" data-width="100%" data-align="left">Once in the Mentor Match view, you will see an eyeglass icon that says ‘Find a match.’. Click here to get started. <img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193aeb9-4418-7163-8cd2-420899363314.png" data-width="100%" data-align="left">Here, you will complete a baseline survey to receive personalized match results. Click ‘begin’ to get started.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193aeba-3214-77c3-bf1b-41182a864bee.png" data-width="100%" data-align="left">Answer each question in the form to the best of your ability. These answers will help us determine the best mentees for you to match. Once each question has been answered, click the ‘Next’ button. You can always navigate between questions using the forward and backward arrows on the bottom right of the screen.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193aebb-5607-780a-8233-656d456fec61.png" data-width="100%" data-align="left">Finally, when you are satisfied with your answers, click the ‘Get matched up!’ button at the end of the survey!<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193aebc-4c42-7d89-8403-a1dca147b1a5.png" data-width="100%" data-align="left">You will be navigated back to the Mentor Match view when the check-in has been processed. You will now see your screen populated with potential mentors to match with! Try inviting mentees with whom you are likelier to be a match by clicking ‘Invite to match’ under a mentee profile. <img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193aebf-1094-7ccf-a264-0f1e8a1a1c8f.png" data-width="100%" data-align="left">After clicking invite to match, you can select a group to invite them to within your organization. Make sure to ask them to the correct group! How to Manage Group Match, Unmatch, or Rematches During the Medical Journey

Ah, you noticed your mentee has completed your check-in via the email sent to you from DistrictZero! Always remember to check your email to know when your mentees complete check-in and for a quick link to provide feedback.If you want to check the status of check-ins that you still need to provide feedback to, navigate to the ‘Check-in Feedback’ tab using the navigation bar on the left side of the screen.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193b29b-10e6-73e8-b12b-7bf1a66ad017.png" data-width="100%" data-align="left">Upon opening this view, you will see a list of check-ins you still need to read and provide feedback.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193b2a4-815f-7eaa-b958-fb985647dbc0.png" data-width="100%" data-align="left">To filter through these, utilize the two filter options at the top right of the screen. Academic Student Mentees

How to Match, Unmatch, or Rematch During the Medical Journey

Once logged in as a mentor, you will arrive at the Dashboard section of the app. Near the top of the dashboard, you will see all of the check-ins you have completed recently, but more importantly, at the top of that list, you will see check-ins you need to complete. Check-ins you still haven’t completed will be signified with the orange ‘Start’ button on the right side of that check-in card and the timer with the amount of time left to complete the check-in.To start a check-in, press the orange ‘Start’ button.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193aee2-e1ab-791f-a921-2ea127d22571.png" data-width="100%" data-align="left">You will be taken to the welcome screen of that check-in, where a friendly message or description of the check-in will be waiting for you, as well as an approximation of the time it will take you to complete.Select ‘Begin’ to start answering questions.<img src="https://fb-usercontent.fra1.cdn.digitaloceanspaces.com/0193aee4-5016-7316-8a1c-a0d81cf42e5f.png" data-width="100%" data-align="left">Different questions will offer various ways to capture your feedback or thoughts. Some questions will ask you to rate something on a scale of 1-10, where you will highlight several circles based on your answer of 1-10. When you click submit, you will see a loading screen signifying your check-in is being processed and sent to your mentors. How to Complete a Check-In

As a mentee, you will see a table of check-ins at the top of your dashboard. Check-ins that have been completed recently will show below with the option to ‘View Feedback’ if your mentor has provided feedback.
